What is M-Files?

M-Files is the intelligent information management platform that organizes content based on what it is, not where it’s stored. M-Files connects to your network folders and existing content management platforms. This enterprise content management (ECM) platform uses artificial intelligence (AI) to categorize and give you a 360-degree view of your important information.

Facing a new business reality brought on by the 2020 COVID-19 pandemic, today's leading enterprises are driving the demand for content services platforms as they transition to remote working environments. M-Files is uniquely positioned to help organizations navigate today's unprecedented challenges and future-proof their businesses by ensuring seamless access to documents and information while minimizing risk.

M-Files continues to employ the latest artificial intelligence technologies to enrich the user experience and ensure customers maximize the value of their content. M-Files uses machine learning to automatically analyze documents, extract insights and ensure proper handling of sensitive data and business-critical information. AI-powered features, such as auto-tagging and auto-classification, infer the meaning, sensitivity and importance of content.

Typically, organizations use more than three content management systems. M-Files integrates all content into one view to access information regardless of where it is stored.

The M-Files solution is built on three pillars: it's metadata-based, intelligent and repository-neutral. That means you can find data based on what it is, not where it's stored. See information in context automatically, regardless of its system of origin. Your organization can avoid another data migration project with M-Files. This solution allows you to keep your enterprise content exactly where it is stored today and staff can access this enterprise content instantly, even if it's stored in a variety of content management systems and/or document repositories.

Using cloud-based, AI-powered technology, M-Files delivers information quickly and easily when needed, regardless of where it is stored, connecting content across all platforms. This allows powerful business process automation, streamlines workflows and frees knowledge workers to focus on high-skill, high-value work. The M-Files software-as-a-service (SaaS) business model continues to drive the company's strong growth.

System overview

M-Files is platform- and device-independent. No matter your preference in setting up your IT environment, M-Files can be installed in the cloud, on-premises or as a hybrid solution. Furthermore, M-Files offers one common user interface regardless of the device you use, so you can work anytime, anywhere and with any device.

An M-Files system consists of the following components:

  • a server computer (or multiple servers) running the M-Files Server component and containing the document vault or vaults
  • M-Files clients used for displaying and editing the vault-stored information via the end-users' computers or mobile devices

You can access document vaults in the following ways:

  • by installing M-Files Desktop on your desktop or laptop
  • by accessing M-Files Web via any web browser
  • with the M-Files mobile apps for iOS and Android devices

M-Files Server can be set up on-premises, in the cloud or as a hybrid deployment.

Will I have to migrate my existing data?

One of the first and biggest stumbling blocks to implementing a new information management or ECM system is data migration. How do you get all your existing data into the new system? It's difficult, time-consuming and expensive. All those data repositories are full of ROT (redundant, obsolete and trivial) data.

It no longer matters where information is located as M-Files and the Intelligent Metadata Layer (IML) eliminate information silos and unify multiple systems and repositories. Content can stay where it is, without the need to migrate or duplicate the actual content. You can also choose to migrate all content to M-Files if you prefer.

Why are key intelligent metadata layers important?

  • Find information based on what it is rather than where it's stored
  • Search, access and manage all content across the company network
  • Use artificial intelligence to help manage documents and content more efficiently
  • Find, access and edit content with any device
  • Use the Office 365, Google G Suite or Salesforce interface as a single point of access to all enterprise data
  • No data migration necessary

Does M-files integrate with other programs?

Document and information management is likely not the core of what your employees should spend their time on.

M-Files has preconfigured integrations with popular programs such as Microsoft Teams, SharePoint Online, Salesforce CRM and Google G Suite.

M-Files accolades

In 2020's evaluation of 18 content services vendors, Gartner, Inc. named M-Files as a Visionary based on its completeness of vision and ability to execute.

According to Gartner's report, "Intelligent services, primarily those powered by machine learning, have really made a large impact on vendor offerings in this space in 2019 and 2020. Gartner has seen three major types of intelligence maturing significantly in content services offerings over the last 12 months: Content intelligence: the classification of content; Productivity intelligence: improving employee productivity by surfacing relevant content and proactively based on employee behavior; Security intelligence: the automated protection of content in different contexts and scenarios."
